  • Overview

    IMG is seeking a self-motivated, recent college graduate to support the planning, development, and administration of concurrent business proposal efforts. The successful candidate will possess demonstrated capabilities in the application of critical thinking and problem-solving skills to manage competing priorities and complete assigned tasks, often within tight deadlines. The role requires solid research and analytical skills, with an ability to cross-reference content from multiple sources to create comprehensive, cohesive products. 


    IMG - founded in 1987 - is hiring a Proposal Administrator in Fairfax, VA. This position will report to the Proposal Operations Manager and will work out of the IMG corporate headquarters facility in Fairfax, VA (Fair Oaks).


    • Perform advanced administrative support to proposal teams throughout the proposal planning, development, production, and post-submission phases.
    • Track incoming Request for Information/Request for Proposals packages, create team binders, and develop summary documentation for analysis.
    • Research and write content for assigned proposal sections, white papers, presentations, procedures, templates, and other corporate products.
    • Review information and edit material for proper use of terminology, style, direction, content, grammar, punctuation, clarity, design, and layout.
    • Provide proposal logistics planning and coordination support including facility coordination, office supply inventory monitoring and ordering, meeting coordination, and proposal production requirements.
    • Assist in the maintenance of critical corporate repositories including submitted proposals; corporate-formatted resumes; marketing material; and internal guides, procedures, and templates.
    • Other duties as assigned.


    • Undergraduate degree in Communications, Marketing, Business, English, or related highly analytical field of study.
    • Superior skills using the MS Office Suite; familiarity with Adobe Creative Suite applications highly beneficial.
    • Excellent written and oral communication skills, including the ability to interact professionally with multiple levels of internal and external customers; high proficiency in technical writing/editing, with a sharp eye for detail.
    • Capability to perform tasks independently, with minimal supervision, and proactively anticipate emerging work requirements.
    • Ability to prepare an outline from a set of requirements and write tailored content targeted to the appropriate audience.
    • Ability to work extended hours and weekends during surge periods.

    Desired Skills/Experience:

    • Ability to quickly create tailored, user-friendly MS Word style templates for proposals and internal documents.
    • Familiarity with the Government Printing Office (GPO) Style Guide, Associated Press Stylebook, and/or The Chicago Manual of Style is beneficial.
    • Ability to perform desktop publishing and create graphics.
    • Familiarity with collaboration and document repository tools; ability to quickly gain proficiency as a SharePoint administrator.


    Must be a U.S. citizen with an ability to obtain a government security clearance.
